Glossary
The words used in school accounts and records, one plain line each.
- Double entry
- Every amount is recorded twice, as money in and money owed, so the totals always balance.
- Ledger
- The book of every money entry, in date order. In Smart Edu an entry cannot be edited after posting; a mistake is corrected by a new entry.
- Credit note
- A document that reduces what a family owes, for example a bursary or an error. It needs two people: one asks, one approves.
- Ageing
- Arrears sorted by how long they have been owed: under 30 days, 31 to 60, 61 to 90, over 90.
- Moderation
- Checking marks across classes so the same work gets the same mark.
- Lock
- Closing marks or a term so nothing changes without a second person.
- Audit trail
- A record of who did what and when, which cannot be changed.
- Two-step sign-in
- A password plus a six-digit code from an app on the person's phone.
- Seal
- A fingerprint on a mark or money record. If someone changes the record outside Smart Edu, the fingerprint no longer matches and the nightly check reports it.
- Approved network
- The school's own internet connection, registered with Smart Edu. Staff pages open only from approved networks.
- Trial balance
- A list of every account's total. If the debits equal the credits, the books are arithmetically right.
